Documents to submit before and after Erasmus grant approval
Please be aware of the fact, that the documents which need to be completed before the Erasmus grant approval, must be submitted at least six weeks before the internship starts.
The Grant Agreement must be submitted as an original, signed print-out. All other documents can be submitted by email as PDF files.
Application Documents
After completing the application form and registering in Mobility Online, you must create and upload the Learning Agreement.
You can download this via the workflow in Mobility Online after you have answered the previous questionnaires. Once you have completed it and it has been signed by you, the internship provider, and the internship coordinator at your faculty, upload it again as a PDF file in the workflow.
The letter of motivation must be written in German and should be 1-2 pages long.
- How is the internship abroad related to your studies? How can the knowledge you have acquired during your studies be applied in the internship?
- Why are you seeking an internship abroad and what do you expect to gain from it? (Learning objectives)
- What career goals do you hope to achieve through your studies?
Please upload the above documents as PDF files to Mobility Online. The Learning Agreement will be partially filled in automatically with the information you have provided in Mobility Online. The other details must be entered either manually by you and/or by your internship provider. We can only review your application for Erasmus+ funding once we have received all the application documents.
The following documents must then be submitted after the Erasmus grant has been approved.
Before your internship starts
The Grant Agreement is the Erasmus+ contract between the funding agency (Erasmus+ Student Mobility Coordinator) and the recipient (Erasmus+ student).
We will provide you with a personalized version of the Grant Agreement for download in Mobility Online after we have received confirmation of your scholarship. Please pay particular attention to the information regarding the duration of your mobility phase, the amount of financial support you will receive, and the payment of your scholarship.
Please print out two copies of the document, sign both copies, and send us the originals by mail or in person before the start of your mobility phase. Please check all data for completeness and correctness, especially your address and bank details, and inform us of any necessary changes.
Please note that only the Grant Agreement available for download in Mobility Online needs to be submitted, and no other attachments included in the Grant Agreement (CoP and Learning Agreement).
We will then return a fully signed copy to your home address as specified in the Grant Agreement. Please keep this copy carefully in your records.
The Grant Agreement is the only Erasmus+ document that must be submitted to us with original signatures.
Important: The date of signature must be before the start of the internship abroad.
All other documents can also be submitted electronically.
Please upload study certificates covering the entire internship period to Mobility Online. This may include several certificates. If your internship spans several semesters, study certificates for later semesters can be submitted at a later date. Please only submit study certificates that clearly show your degree program, subject, and university semester. A certificate that only shows the faculty is not sufficient.
During your internship
If the data entered for the mobility phase needs to be changed (e.g., because the duration has been extended), you can adjust this via the Learning Agreement “during the mobility” and use this document to apply for an extension.

After your internship
After your internship, you will receive a link to the report in an automatically generated email. You must complete this online no later than 30 days after the end of your internship. Once you have completed the report, generate a PDF document and upload it to Mobility Online. This is mandatory for the payment of the second scholarship installment.
If you are completing a mandatory internship abroad, you must submit proof of your recognized academic achievements after completing your internship abroad. Once your achievements from your internship abroad have been recognized and recorded in PAUL, you must request this from the Examinations Management and then download it from PAUL. The overview of achievements must clearly show that the achievements were completed abroad. Please answer the questionnaire in Mobility Online and upload the transcript of records to Mobility Online immediately after the credits have been transferred.
